During the webinar, Tobias Lundmark from Skellefte\u00e5 Municipality shared his experiences from the municipality&#8217;s extensive work to create order in an information environment that included around 27 million documents. A work that was not just about technology, but about establishing common working methods, clear information structures and long-term control over the organization&#8217;s information.  <\/p>\n\n<h3 class=\"wp-block-heading\">From local structures to common ways of working<\/h3>\n\n<p>The starting point was familiar to many organizations. Information was stored in different ways in different administrations and there was no common structure for documents outside the business systems. The consequence was that information was difficult to find, difficult to manage and difficult to control based on regulations and information security requirements. For Skellefte\u00e5 municipality, the solution was to work process-oriented instead of organization-oriented. By letting the business processes control how information is organized, a structure was created that is sustainable over time, even when the organization changes.    <\/p>\n\n<h3 class=\"wp-block-heading\">Document management that supports your business<\/h3>\n\n<p>A key lesson from the project is that document management is not an IT project. Success requires clear management support, defined information ownership, and an organization that can manage both structure and working methods over time. The webinar also emphasized the importance of making it easy for users to do the right thing. Automating metadata management, permissions and the information lifecycle reduces the need for manual decisions while increasing quality.   <\/p>\n\n<h3 class=\"wp-block-heading\">MetaShare became an important piece of the puzzle<\/h3>\n\n<p>To put the strategy into practice, Skellefte\u00e5 Municipality chose to build its solution on Microsoft 365 and MetaShare. The solution provides users with a unified way to find, manage and share information while using metadata to support search, automation, deletion and future AI use. The municipality has also introduced automated deletion rules and created the conditions for integration with e-archives, which strengthens control over the entire life cycle of the information.  <\/p>\n\n<h3 class=\"wp-block-heading\">An issue that concerns more and more municipalities<\/h3>\n\n<p>The high level of interest in the webinar shows that many municipalities are facing similar challenges. The amount of information is growing rapidly while the requirements for information security, compliance and AI maturity are increasing.
