But with AI, something is changing. Instead of having to find and compile information ourselves, we can start asking questions directly of the organization’s documents. And the evolution doesn’t stop there.

Where can I find the latest decision? Which version of the agreement is in effect? What exactly did we agree on at the last project meeting?

These issues are familiar in most organizations. Even though the information is often available, a great deal of time is spent searching for, reading, and compiling it. But someone looking for a decision doesn’t really want a list of documents. They want to know what was decided.

In an article from May 2026*, Microsoft describes how search technology is changing. Traditional search helps people find the right information. Now, the technology is evolving to also provide AI with the basis for formulating answers.

An important aspect of this development is grounding, which means that AI bases its responses on relevant information sources, such as the organization’s own documents and systems. This makes it possible to ask questions directly of the information and receive compiled responses with references to relevant sources.

The possibilities are endless. A project manager can get an overview of decisions that have been made, a lawyer can compare contract terms, and a manager can find out which guidelines apply—all without having to search for and read every document themselves.

But which version is true?

But what happens when AI finds multiple versions of the same document? Or when an old decision contradicts a new one?

When a person searches for information, she can evaluate the results herself and identify contradictions. When AI compiles an answer, part of that evaluation is instead performed by the system. And if the source material is incorrect or out of date, the answer risks being the same.

This sheds light on an issue that many organizations are already grappling with today: How do we ensure that information is up-to-date, reliable, and can be placed in the right context?

Metadata can play an important role here. By describing, for example, a document’s status, version, ownership, and responsibility, it becomes easier for both people and AI systems to find and evaluate the right information. However, this also requires that the organization have effective document management procedures in place.

When AI Starts Doing the Work

In October 2026, Microsoft published another article**, this time on how AI can be used not only to read documents but also to perform tasks based on their content.

This may involve processing invoices, reviewing data, or passing information along in a business process. In such cases, it becomes even more important to be able to trace the source of the information and determine when human oversight is needed.

For organizations investing in AI, this development means that document management takes on a broader significance. It is no longer just about storing, finding, and sharing information, but also about ensuring that it can be used reliably by AI.

Because if we ourselves have a hard time determining which information is accurate, why would AI always do a better job?

Sources and Further Reading

*Microsoft Bing Blog, May 6, 2026
The Evolving Role of the Index: From Ranking Pages to Supporting Answers

**Microsoft Foundry Blog, October 14, 2026
From extraction to action: Using grounding and confidence to build reliable document workflows**

Make the documents usable for AI

AI creates new opportunities for using an organization’s information.
