Efficient document publishing: ELU Konsult automates its employee handbook with a customized workflow

The challenge

ELU Konsult AB is a company that offers consulting services in the construction, civil engineering and hydraulic engineering sectors, as well as in the geotechnical field. They have a staff handbook that contains important information about the company’s policies, procedures and guidelines. The staff handbook is continuously updated by different employees and needs to be published on a SharePoint site that is accessible to job candidates without them having to be logged in.

ELU Konsult AB previously had a manual and time-consuming way of publishing their staff handbook. They needed to convert each document to PDF format, copy them to another SharePoint site, and make sure they replaced any older versions of the document. This meant that the staff handbook was not always up to date and there was a risk of errors and inconsistencies.

The solution

We helped ELU Konsult AB automate and simplify their publishing process with a customized workflow we developed for them. The workflow makes it possible to publish documents tagged as external staff manual and published as a major version (new documents or changed documents) to a SharePoint site that allows external sharing. The workflow performs the following steps:

  • Automatic conversion of the document to PDF if needed (for Word and PowerPoint files only).
  • Publishing the document (copying it to the other SharePoint site). If the document already exists as an older version, it will replace the document.

With our customized workflow, ELU Konsult AB has saved time and resources, increased its productivity and improved its internal communication. The employee handbook is always up-to-date and available to external candidates, no matter where they are.
